Email Inboxes

Email Tracking in JobScore

Updated 8 years ago

Email tracking is a JobScore upgrade that allows your team to send emails directly into JobScore, entering information on-the-go without having to log in. The email tracking upgrade includes 3 different email inboxes and is available for customers on the Scale or Enterprise Plan.

NOTES INBOX: ([email protected])

With the notes inbox your team can email their notes into JobScore.  This makes it super easy to capture feedback and discussions without asking your team to log into the system.

The notes inbox works in two ways:

  1. When your team replies to emails sent from JobScore that have ## reply above this line ## at the top of the email alert (currently this is included in Candidate Alert emails and Note Alert emails), any text in the reply email is automatically added as a note to the candidate referenced in the original message.

  2. You can email notes directly into JobScore, without having to reply to a Candidate Alert or Note Alert email.  Just compose an email to [email protected], and include the text /candidate followed by the candidate's email address in the body of the message. For example: /candidate [email protected].  Then just send the email, and the text in the email will be added as a note to the candidate record.

You can also use email commands in conjunction with the notes inbox:

  1. You can tag candidates with one or more keywords.  Just add the text /tag followed by a tag into the body of the email. For example: /tag engineer.  To tag the candidate using more than one tag, just make sure to separate each tag with commas. For example:/tag engineer, ruby.  If there isn’t an exact match to an existing tag, the new tag will be automatically added to the system (you can go to Admin > Tags to clean this up later).  JobScore will send a confirmation message if a new tag was created, along with a link to the page to edit it.

  2. You can mark a note as private.  Just add the text /private into the body of the email, and the note will be marked as private, visible only by you.

The notes inbox makes it a breeze to capture discussions about candidates and interview feedback .  The notes inbox is particularly powerful for smartphone users - they can add feedback on candidates wherever they are, right from their smartphone!

BCC INBOX: ([email protected])

The bcc inbox makes it easy to keep track of candidate email correspondence without cutting-and-pasting emails into JobScore. There are two ways to use the bcc inbox to keep track of candidate correspondence:

  1. When you email a candidate just add the email address [email protected] to the bcc: line of your email client and a copy of your email message will be "auto-magically" attached to the candidate's record in JobScore.

  2. If you receive an email from a candidate that you want to store in JobScore, there's no need to cut-and-paste it into the system.  If you just click  "forward" in your email client and send the email directly to: [email protected] it will be attached to the candidate's record in JobScore.

You can also use email commands in conjunction with the resume inbox:

  1. You can tag candidates with one or more tags, using the /tag command described above.

The bcc inbox makes it simple to keep a record of your conversations with candidates in JobScore that everyone can see.

RESUME INBOX: ([email protected])

The resume inbox allows you and your team to add resumes directly to JobScore without logging in. Here's how it works:

  1. Compose an email to: [email protected] and include the resume you want to add to jobscore as attachment.  Click send and voila! It's in JobScore.

  2. Any text that you include in the subject or body of the message will be added as a note to the candidate's record.

You can also use email commands in conjunction with the resume inbox:

  1. You can add up to 10 resumes at a time.  Just include the text /bulk in the body of the message, and all resume attachments will be added to JobScore.  Please note, however, that the text of the email will NOT be added as notes to each candidate when using the /bulk command.

  2. You can assign the new candidate to a job.  Just add the text /assign followed by the job ID into the body of the email.  For example: /assign 1234.  To assign the candidate to multiple jobs, just make sure to separate each job ID with commas. For example: /req 1234, 5678.

  3. You can add a cover letter for a candidate when adding a single resume.  Just type /cover at the top of the message body text.  Any other text in the body of the email will be added as a cover letter attached to the new candidate.

  4. You can tag candidates with one or more tags, using the /tag command described above.

The resume inbox is a great way to supercharge your sourcing and referrals.  No more he-said-she-said about who-sent-who a resume - your entire team can just attach a resume and and click send and it'll be in JobScore.

Note: For multi-account users, when sending an email from this account you'll need to specify which company or account you want to send in your message to by including the company code in the email address.

Examples:
* To send a resume to a company called "Acme, Inc": [email protected]
* To send a note to a company called "Morris & Morris": [email protected]

Your company code can be found under Admin > Account.
